Privacy Policy
TraderOps LLC (“TraderOps,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you use our automated bookkeeping platform and related services (the “Service”).
By using TraderOps, you agree to the collection and use of your information in accordance with this policy. If you do not agree with this policy, please do not use the Service.
1. Information We Collect
We collect the following types of information to provide and improve our Service:
Personal Information
- Your name and email address when you create an account, either with an email address and password or via Google Sign-In
- Trading profile information you provide during onboarding, such as your trading account type, asset classes traded, experience level, and country
- Communication preferences and support interactions
- Any additional profile information you choose to provide
Financial Data
- Bank account and credit card transaction data (transaction descriptions, amounts, dates, and account identifiers) accessed via our secure Stripe Financial Connections integration
- Transaction data you upload via CSV import
- Transaction categorizations, budget configurations, and other bookkeeping data you create within the Service
- Subscription and billing information processed through Stripe (we do not store your full credit card number)
Usage Information
- Device information, IP address, and browser data
- Platform usage patterns and feature interactions
- Error and performance data to improve our Service
Important: We do not collect Social Security Numbers, tax identification numbers, medical information, or broker/trading platform login credentials. We do not access your bank login credentials at any time — authentication is handled entirely by Stripe and your financial institution.
2. How We Collect Information
Directly from You
- Account creation with an email address and password, or via Google Sign-In
- Data you enter into the Service (manual transactions, categorizations, budgets, rules)
- CSV files you upload
- Support requests and communications
Through Third-Party Integrations
- Stripe Financial Connections — secure, read-only access to bank and credit card transaction data, authorized by you during the account linking process
- Stripe — payment and subscription processing
- Google — authentication via Google OAuth
Automatically
- Aggregate, cookieless analytics collected via Plausible when you visit our marketing website or use the TraderOps app (app.traderops.io)
- Error tracking data collected via our monitoring tools (Sentry), with personal identifiers redacted before transmission
- If you arrive at our website through an affiliate referral link, a referral identifier used to attribute your signup to the referring affiliate (see §8, Cookies and Tracking)
3. How We Use Your Information
We use your information exclusively to provide, maintain, and improve the Service:
- Provide secure access to your bookkeeping dashboard and reports
- Import, categorize, and organize your financial transactions
- Generate bookkeeping reports and exports you request
- Process subscription payments and maintain your account
- Send service-related communications (account notifications, billing confirmations, security alerts, product updates)
- Send marketing communications about TraderOps features and offers, which you can opt out of at any time
- Monitor platform performance, diagnose technical issues, and resolve errors
- Improve the Service based on usage patterns and feedback
- Respond to your support inquiries
Anonymized and Aggregated Data
We may create anonymized, de-identified, or aggregated data derived from your information (“Aggregated Data”). Aggregated Data does not identify you personally and is not considered personal information. We may use Aggregated Data to improve our platform, develop new features, and conduct research and analysis. We may also publish platform-wide statistics — for example, the total number of transactions processed or the total payouts tracked across all TraderOps users — on our website and in our communications. Published statistics are always aggregated across our user base and never identify you or reveal any individual’s financial activity.
What We Do Not Do
- We do not share your data with third parties for their advertising or marketing purposes.
- We do not sell, rent, or trade your personal information to any third party for their own commercial purposes.
- We do not use your individual financial data for any purpose unrelated to providing the Service.
4. Sharing of Information
We only share your information with trusted service providers essential to operating our platform:
Essential Service Providers
Stripe — Secure bank account integration via Stripe Financial Connections (read-only transaction access) and payment processing for subscriptions. View Stripe’s Privacy Policy
Google — Authentication via Google OAuth for account sign-in. View Google’s Privacy Policy
Brevo — Our email service provider. Brevo receives your email address, name, and account lifecycle events in order to send transactional emails (such as password resets, billing notifications, and account alerts) and marketing communications. Marketing emails may contain open and click tracking; you can unsubscribe from marketing emails at any time. View Brevo’s Privacy Policy
Google Cloud Platform (GCP) — Secure cloud infrastructure including application hosting, database storage, and file storage, located in the United States.
Sentry — Error monitoring and platform performance optimization. Sentry may receive limited technical data (such as error stack traces and device information) to help us diagnose and resolve issues. We configure Sentry to redact personal identifiers before transmission. View Sentry’s Privacy Policy
Plausible — Privacy-focused, cookieless analytics on our marketing website and the TraderOps app (app.traderops.io). Plausible collects aggregate visit data only — it does not use cookies, does not track you across sites, and does not build personal profiles. View Plausible’s Privacy Policy
Rewardful — Affiliate program management. The Rewardful script loads on every page of our marketing website, but it only sets a cookie and only collects a referral identifier if you arrive through an affiliate’s referral link. In that case, Rewardful receives a referral identifier associated with your subscription so the referring affiliate can be credited. View Rewardful’s Privacy Policy
Help Scout — Our customer support platform. When you contact us for support — through the in-app support widget or by emailing support@traderops.io — Help Scout receives your name, email address, the content of your support messages and any files you attach, and limited technical context about your session (such as your subscription plan, the page you were viewing, your browser, and app version) so that we can respond to and resolve your inquiry. Legal Requirements
We may disclose your information if required to do so by law or in response to valid legal process, such as a subpoena, court order, or government request.
Business Transfers
In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity. We will notify you via email or prominent notice on our platform before your information becomes subject to a different privacy policy.
5. Data Storage and Security
Technical Safeguards
- Encryption of data in transit (TLS/HTTPS) and at rest
- Read-only access to bank transaction data via Stripe Financial Connections
- No storage of bank login credentials — authentication is handled entirely by Stripe and your financial institution
- Role-based access controls and audit logging
- Regular security monitoring
Infrastructure
- Hosted on Google Cloud Platform (GCP) in the United States
- Automated database backups
- Continuous security updates and patching
Stripe Financial Connections Security
Your bank accounts are connected securely through Stripe. We request only the transactions permission — we cannot access your balances, ownership details, or account numbers beyond what is necessary to import transaction data. You authorize this access during the account linking process and can revoke it at any time.
While we implement industry-standard security measures, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security of your data.
6. Data Retention and Deletion
Different categories of data are subject to different retention periods based on the type of data and our legal obligations. We are transparent about these distinctions so you understand what happens to your information when you cancel your account.
6.1 Application Data (Retained While Active, Deleted 30 Days After Account Deletion)
The following data is stored in TraderOps systems and is under our direct control:
- Your bookkeeping records, transaction categorizations, and reports
- Bank account connections and related metadata (we do not store account numbers or login credentials)
- Transaction data extracted from CSV files you upload (the CSV files themselves are processed in memory and are not retained as files)
- Your preferences, settings, and in-app configurations
Retention: For as long as your account is active. If you cancel your subscription, this data is retained for a 30-day grace period so you can reactivate and restore access. If your account is deleted — at your request or following the grace period — this data is permanently deleted from our active systems within 30 days of deletion.
6.2 Personal Identifiers (Anonymized 30 Days After Account Deletion)
The following personal identifiers are stored in our application database:
- Your name
- Your email address
- Your sign-in identifiers (such as your Google account link)
Retention: For as long as your account is active. Within 30 days after your account is deleted, these fields are anonymized — your name and email are removed and replaced with non-identifying internal references, and your sign-in identifiers are removed. Your user record is preserved for audit trail integrity, but your personal identifiers are no longer retrievable, and the account can no longer be used to sign in.
6.3 Payment and Billing Records
The following records are processed and stored by Stripe, our payment processor, and are retained beyond account deletion:
- Subscription history
- Invoices and payment receipts
- Payment method details (last 4 digits, card brand, expiration — full card numbers are never accessible to us)
- Transaction history and chargeback records
Retention: These records are kept for as long as TraderOps needs them for its own legal, accounting, and financial-services obligations, and are also subject to Stripe’s own retention practices as our payment processor.
This means billing records outlive account deletion. Even if you delete your account, we and Stripe keep a record that the transactions happened. Deleting your bookkeeping data does not erase our billing history.
6.4 System Logs, Backups, and Audit Records
To operate the Service securely and meet our compliance obligations:
- Generated export files are automatically deleted within 90 days.
- Database backups are retained on a rolling 30-day window.
- Security and audit logs are retained for at least 365 days for fraud prevention, security investigation, and regulatory compliance.
- Residual copies of personal data may persist in encrypted system logs and backups after deletion, until they are removed through routine log and backup rotation.
6.5 Aggregated and Anonymized Data
Data that has been fully anonymized or aggregated so that it no longer identifies you personally may be retained indefinitely for analytics, product improvement, research, and the platform-wide statistics described in §3.
6.6 Returning Customers
If you cancel your account and later return to TraderOps using the same email address, we will automatically link your new account to your prior payment history via our payment processor. This allows us to honor any existing subscription-level protections (such as one-time promotional offer limits) and maintain a continuous billing record. If you return using a different email address, a new payment profile will be created and prior promotional protections will not carry forward.
7. Your Rights
Access and Control
View, update, or correct your account information through your dashboard settings at any time.
Data Export
Export your financial data and reports at any time through the Service’s built-in export functionality.
Account Deletion
Want your data deleted? Contact support at support@traderops.io and we will take care of it. Application data (§6.1) will be permanently deleted within 30 days of your request. Personal identifiers (§6.2) will be anonymized. Payment and billing records (§6.3) are retained as described above.
Marketing Communications
Opt out of marketing communications at any time by following the unsubscribe instructions in any marketing email. Service-related communications (such as billing confirmations and security alerts) are not subject to opt-out.
Sale of Personal Information
We do not sell your personal information to any third party.
8. Cookies and Tracking
Cookies are small text files stored on your device when you visit a website or use an online service. Similar technologies include pixels (web beacons), local storage, and session identifiers. This section explains the cookies and similar technologies we use and how to manage them.
Strictly Necessary Cookies
These cookies are essential for the Service to function and cannot be disabled:
- Authentication cookies — a short-lived session token and a refresh token that keep you signed in to the application. These are secure, HTTP-only cookies that expire within hours.
- Security cookies — help protect against unauthorized access and cross-site request forgery (CSRF)
- Signup cookies — a short-lived cookie (about 30 minutes) that remembers your selected plan while you complete signup and checkout
These cookies do not collect personal information for marketing purposes. Disabling them may prevent you from logging in or using core features.
Local Browser Storage
The application stores a small number of preferences in your browser’s local storage rather than in cookies — such as dark mode, your preferred dashboard view, and onboarding progress. These stay on your device and remain until you clear your browser data.
Analytics
Our marketing website and the TraderOps app (app.traderops.io) use Plausible Analytics, a privacy-focused analytics service. Plausible is cookieless — it sets no cookies and stores nothing on your device. It collects only aggregate information (such as page views and referral sources), does not track you across other websites, and does not build a profile of you.
Affiliate and Marketing Technologies
- Affiliate referral cookie (Rewardful) — if you arrive at TraderOps through an affiliate’s referral link, our affiliate platform, Rewardful, sets a first-party cookie so that your signup can be attributed to the referring affiliate. This cookie persists for up to 90 days and is used solely for referral attribution. It is not set unless you arrive via a referral link.
- Email tracking pixels — marketing emails we send may contain small images that tell us whether an email was opened or a link was clicked. Service-related emails (such as billing confirmations) may also contain tracking pixels. You can opt out of marketing emails at any time via the unsubscribe link in any marketing email or by contacting support@traderops.io.
Third-Party Cookies
Some cookies are set by third-party services we use, governed by their own privacy policies:

The Help Scout support widget loads only within the TraderOps app (app.traderops.io), not on our marketing website. It does not set cookies; instead it stores a device identifier and related state in your browser’s local storage so your support conversation history persists across sessions. This storage is strictly necessary for the in-app support feature to function.
Managing Cookies
Most browsers let you view, delete, and block cookies through their settings. Note that blocking strictly necessary cookies may prevent the Service from functioning — you may not be able to log in or use core features.
Do Not Track and Global Privacy Control
Some browsers can send privacy signals such as “Do Not Track” (DNT) and Global Privacy Control (GPC), which request opting out of tracking or of the sale and sharing of personal information. We do not sell or share your personal information and do not track you across other websites (our analytics are cookieless and aggregate), so there is nothing for these signals to opt out of. We do not otherwise respond to DNT or GPC signals.
9. Children’s Privacy
TraderOps is designed for adults and is not intended for individuals under 18 years of age. We do not knowingly collect personal information from anyone under 18. If we discover that a user under 18 has created an account, we will promptly delete their account and associated data.
10. International Users
TraderOps is designed for users in the United States and operates under U.S. data protection laws. If you access the Service from outside the United States, you do so at your own initiative and are responsible for compliance with your local laws and regulations.
By using the Service, you consent to the transfer of your information to the United States, where data protection laws may differ from those in your country of residence.
11. Changes to This Policy
We may update this Privacy Policy periodically to reflect changes in our practices, legal requirements, or the Service. When we make material changes, we will:
- Update the “Last Updated” date at the top of this policy
- Notify you via email if you have an active account
- Post a notice on our platform
Continued use of TraderOps after changes become effective indicates your acceptance of the updated policy.
